This guide outlines the "Grade" workflow. Your responsibility is to physically inspect each item in an RMA, document its condition, repackage it, and sort it to its warehouse location.

This guide outlines the "Grade" workflow. Your responsibility is to physically inspect each item in an RMA, document its condition, repackage it, and sort it to its warehouse location. In the grade flow, you'll be required to complete the statement for the condition of each item and its packaging. The system will use your inputs to determine the grade of each item and how they're fulfilled.

  • Scan the RMA

Begin on the Process screen and scan the barcode/QR code on the RMA. In the event that nothing returns when scanned, you can use any identifiers on the package to manually search to retrieve the RMA.

The return case's details will be displayed on screen once the lookup is complete.

  • Follow the Grading Questions

After selecting an item, the system will guide you through a series of simple, on-screen prompts.

Follow these prompts to answer questions about the item's physical condition and the state of its original packaging (e.g., is it Factory Sealed or Opened? Is it in New Condition or Damaged/Dirty?).

Your answers will determine the next steps. For example, selecting Factory Sealed will skip the inspection and take you directly to repacking (Step 3). Selecting Opened will lead to more questions.

  • Damaged/Dirty Items

If you follow the prompts and state that an item is Damaged or Dirty, you will be guided through this specific workflow.

  1. Specify the Issue: You'll first be asked if the item is Damaged (permanent flaw) or Undamaged (just dirty).

  2. Cleaning (if "Undamaged"): If you select Undamaged, the system will prompt you to Clean item (15 seconds).

    • Use this time to wipe off any light dirt, dust, or debris.

    • After 15 seconds, you will declare if the item is Now Clean or Still Dirty.

    • If it's Now Clean, you'll proceed to the packaging questions.

    • If it's Still Dirty, it's treated as "Damaged," and you must proceed to the next step.

  3. Documenting Damage (if "Damaged" or "Still Dirty"):

    • You will be taken to the "Document the issues/damage" screen.

    • Take Photos: You must take photos that clearly show the damage or flaw.

    • Select Damages: You must select all damage types that apply from the on-screen checklist (e.g., "Ripped/Torn," "Signs of Wear").

  • Repackage and Sort

Once grading has completed on any item, you will be prompted to print a new label.

  1. Place the item into a new, clear polybag.

  2. A print dialog will appear. Print the License Plate sticker.

    1. Some items will also have an additional SKU/UPC sticker. This will print at the same time.

  3. Affix the newly printed License Plate sticker to the outside of the polybag on the lower left.

    1. Affix the SKU/UPC sticker on the lower right.

  4. Scan the License Plate sticker you just affixed.

  5. The system will confirm the scan and show you the Sort location (e.g., "Sort to WAREHOUSE").

  6. Place the repacked item into the correct physical bin for that location.

Process Undeclared Items

After you have graded all listed items, the system will ask "More items in the package?". If there are additional items that were in the package which did not have a match on screen, complete the flow to document an undeclared item.

  1. Click Add Item Not Listed.

  2. An "Image and Describe Undeclared Item" window will appear.

  3. Take photos of the item.

  4. Add a clear description (e.g., "Pair of earrings, blue gemstones").

  5. Click Grade >.

  6. The system will now take you back to Step 2 (Follow On-Screen Prompts) to grade this new item.

  • Complete the RMA

Once all physical items (both declared and undeclared) have been graded, repackaged, and sorted:

  1. Click the Done button.

  2. You will see a "Grading completed successfully!" message.

  3. You will be returned to the main scan screen, ready for the next RMA.
